Position Summary:

The Shop Clerk will provide administrative support to the Service Department by updating service related systems. This position requires someone with good communication skills and will have regular interaction with customers.

This position is also responsible for the completion of all paperwork related to the Service Department.

Previous fleet shop experience is a plus.

In order to ensure effective and efficient accounting operations, this position requires someone customer oriented, with basic accounting knowledge, ability to follow procedures, work independently and well organized.

Responsibilities:

-Maintain Service Net Planner with PMs campaigns, repairs from drive-ins, call-ins, and 24/7 calls, and off lease/on lease. Start R/O’s, schedule pick-ups and vendor outside work.

-Respond to customer inquiries regarding billing and scheduling. Greet customers at the location and assists customers via phone and e-mail.

-Assist with parts inventories and cycle counts, procurement, storage and billing.

-Complete yard checks and/or safety inspections

-Assist with shop administrative processes and run reports as scheduled

-Complete repair orders

-Record attendance of shop personnel

-Order supplies, mailing, and scheduling

-Order and tag parts

-Accident reporting and administration

-Prepare, issue and send out receipts, bills, policies, invoices, warranties

-Operates computer terminal to input and retrieve data

-Open and route incoming mail, answer correspondence and prepare outgoing mail

  • Fuel invoicing, reconciliation

  • All paperwork involved in daily office procedures

-Other projects and tasks as assigned by supervisor

-Greets and assists customers and visitors via phone, email, and face-to-face interaction

Schedule: Monday to Friday from 8:00 am to 4: 30 pm

Qualifications:

-At least 2 years of customer service experience required

-2 years of administrative support experience required

-High School Diploma or equivalent required

-Associates or Bachelors degree preferred

-Proficiency in the use of Microsoft Outlook, Word, Excel, Access, and Powerpoint are required

-Customer service skills, ability to work independently, and organizational skills required

-Regular, predictable, full attendance is an essential function of the job

-Work the required schedule, work at the specific location required, complete Penske employment application, submit to a reference verification (to include past employment and education history) are required.
